WhatsApp marketing works best when the message feels like a requested service, not an interruption. That starts with a precise permission promise and continues through targeting, timing and support.
Build an auditable audience
Store the opt-in source, time and stated purpose. Segment using data customers would reasonably expect you to use. Suppression and opt-out lists should be applied before every campaign, not cleaned up afterwards.
Give each campaign one job
Choose a clear outcome: help a customer complete a task, discover a relevant release or return to an unfinished journey. Use concise copy, a descriptive action and a landing experience that matches the message.
Control frequency
More messages do not automatically create more value. Set limits across automations and scheduled campaigns so one customer is not contacted repeatedly by disconnected teams. Consider local time and the urgency of the content.
Prepare for replies
Marketing often creates service and sales questions. Route replies to a staffed inbox with customer context, response ownership and a handover path. Do not use automation to trap someone who is asking for help.
Review quality, not vanity
Measure meaningful actions, opt-outs, negative feedback and resolution—not just delivery. Platform definitions and pricing can change, so review current policy and commercial documentation as part of campaign planning.
Build the audience from customer expectation
For each campaign, document how the person opted in, what they reasonably expect to receive and how they can change that choice. Do not treat possession of a phone number as permission. Apply suppression, opt-out and eligibility rules immediately before sending so a previously prepared audience does not override newer preferences.
Use segmentation only when it improves relevance and can be explained from trustworthy data. Small, clear segments are easier to review than complicated rules whose membership cannot be audited. Assign responsibility for the final audience, message, schedule and reply coverage.
Use a campaign preflight
Check template status where required, variable sources, fallback values, links, landing pages, timing, frequency and the expected response route. Test with controlled internal recipients representing missing and unusually long values. Confirm the team can stop or contain the campaign if the audience or rendering differs from the approved preview.
After sending, reconcile opt-outs and failures before preparing the next audience. Evaluate progress against the campaign purpose, such as completed service actions or qualified replies, while avoiding claims that delivery alone created a result. Review complaints, unexpected responses and support load. Current platform rules and message categories should be verified through authoritative documentation during every material process review. Maintain a campaign register with purpose, audience rule, consent source, template, owner, send window and review notes. This creates an audit trail for future planning and helps the team identify overlapping messages before customers receive an unintended sequence from separate departments.
